Sales Admin Coordinator (C3300031) - Corporate Management

Position Summary:

As a Sales Administration employee you will be the customer’s main contact point for any sales promo related issues. You are responsible for processing all Sales Promotions, entering product pricing into system for sales orders and returns, and programming all customers accrual into system to pre-secure a budget for their promo expenses. Price changes, protection, audit, follow-up and reconciliation is key.

Essential Duties and Responsibilities include the following: Other duties may be assigned. In this position, either directly or through others, the incumbent will be responsible for:

    • Processing all sales promotions which include but are not limited to Advertising/Marketing claims, Reseller Price Protections, Monthly Instant Rebates, GEM Pricing, Loyalty Programs, Special Pricing, Bids, Bundle Programs, Demo Programs, Sales Representative Incentive Programs, Volume Incentive Rebates and Mail In Rebates.
    • Auditing/preparing and entering customer claims into system.
    • Reconcile with deduction and communicate disputed item to customer, and convince/influence customer to repay the deductions.
    • Posting credits for, archiving, and filing approved claims.
    • Reviewing customer accounts for outstanding chargebacks.
    • Assisting other departments in collecting unallowed deductions.
    • Entering regular pricing into system based on monthly price lists.
    • Entering irregular pricing into the system based on authorized orders.
    • Investigating Pricing Discrepancies.
    • Generating reports upon request.

Background / Experience to qualify for this position, the following minimal background and skill levels are required:

    • College Diploma or University Graduate (BA).
    • Requires 1-3 years of related administration experience.
    • Customer relationship management skills.
    • Working knowledge in SAP.
    • Highly proficient in Excel, Word, PowerPoint and other office products.

Necessary Skills/Attributes for this position the following skills and abilities must be demonstrated at a proficient level:

    • The ability to communicate in writing, through e-mail, reports, or orally.
    • The ability to organize and prioritize simultaneous Sales Administration related projects.
    • Demonstrated ability to interact with all levels within SECA organization and vendors.
    • Very detail-oriented.
    • Solid communication and organizational skills.

Physical/Mental Demands and Working Conditions: The position requires the ability to perform the essential duties and responsibilities in the following environment:

    • Work is generally performed in an office environment.
    • Operate a computer keyboard and view video display terminal 80% of work time, including prolonged periods of time either writing or reponding to e-mails or documents.
    • Perform work under moderate time schedules and stresses.
    • Occasionally work additional hours beyond normal schedule.
