Email

Your mobile device's Email applications let you access and manage multiple email accounts simultaneously in one convenient location. Although there is a separate Gmail application, the Email application can manage both Internet-based email services (Gmail™ and Yahoo™) and Corporate Work Email (Outlook®). The mobile device can also be manually configured to connect to other email systems.

Note: If you have multiple email accounts, you must configure each account with its own settings.

If you want to send and receive email messages through an Internet Service Provider (ISP) account (such as Outlook), or if you wish to use your device to access your corporate email through a Virtual Private Network (VPN), you will first need to set up an IMAP or POP account.

  • IMAP (Internet Message Access Protocol) – This mail retrieval protocol is frequently used in large networks and commercial and institutional settings. IMAP4 is the current standard.
  • POP (Post Office Protocol) – This protocol is supported by most ISPs and is currently more common among consumer applications. POP3 is the current standard.

Google Mail (Gmail)

This email client is Google's Web-based email service. A Gmail/Google Mail account is created once you sign-up for a new Google account online.

Depending on your synchronization settings, Google Mail, along with calendar events, phone numbers and other contact information on your mobile device are automatically synchronized between your device and your Gmail/Google Mail account on the Web.

Setting Up a Gmail Account via the Mobile Device

Note: You must have a valid and active Google account prior to using this email client.

  1. From the Home screen, touch Applications > Gmail .
  2. Read the Adding an account message and touch Next.

  3. Touch Sign in.

Note: If you do not already have a Google account, touch Create and follow the onscreen prompts to create your new account.

  1. Enter your Email address and Password. Touch Sign in.

  1. The Google Account is now linked to your mobile device. Touch Finish setup.


 

Configuring Gmail Settings

  1. From the Home screen, touch Applications > Gmail .
  2. Touch the Menu button for these options:

    • Refresh: Update Gmail on your phone from the Google servers
    • Compose: Create a new email
    • Accounts: View and choose from your Google account(s)
    • Go to labels: View Google content by label
    • Search: Find Gmail items
    • Touch More for these additional options:
      • Signature: Create a text signature to add to outgoing messages

      • Confirm actions: Have your phone prompt you to confirm archivals, deletions, and messages sent

      • Reply all: When active, responding messages are sent to all addressees by default.
      • Auto-advance: Choose whether to show a Newer or Older conversation or a Conversation list after you delete or archive a conversation

      • Message text size: Choose Tiny, Small, Normal, Large, or Huge text for your messages

      • Batch operations: Allow changes to labels on more than one conversation
      • Clear search history: Remove previous searches you have performed
      • Labels: Choose which labels are synchronized
      • Email notifications: When enabled, notifications for new email appears in the Notifications Panel
      • Select ringtone: Choose a ringtone for new email notifications

      • Vibrate: When enabled, the phone will vibrate for new email notifications, along with the ringtone (if a ringtone is selected)

      • Notify once: Display a notification for new email, not for every new message
    • Help: Launches Browser with Google Mobile Help
    • About: Shows Gmail version installed on your phone

Synchronizing Your Google Account

This feature allows you to determine which current applications are synchronized with the external server and at what intervals.

  1. From the Home screen, press Menu button  > Settings > Accounts & sync. These settings can affect data minute usage. Please refer to your current data plan for more details.
  2. Touch any of the following options:


    • Background data: Allows data synchronization to occur as a background function
      • It allows this to occur behind the scenes and does not affect any current use of the mobile device
    • Auto-sync: Requires the mobile device to maintain synchronization with the remote server providing data to your selected applications
  3. To configure the Google management settings:

    1. From the Home screen, press Menu button  > Settings > Accounts & sync.
    2. Touch within the Google account field to reveal the account's synchronization settings screen.
    3. Touch the parameters you wish to synchronize (Sync Books, Sync Contacts, Sync Gmail, Sync Picasa Web Albums or Sync Calendar).
      A green checkmark indicates the feature is enabled.

Adding Additional Gmail Accounts

  1. From the Home screen, press Menu button  > Settings > Accounts & sync.

  2. Touch Add account.
  3. Touch Google.

  4. Follow the onscreen prompts to add an additional Gmail account.

Delete Gmail Account

  1. From the Home screen, press Menu button  > Settings > Accounts & sync.
  2. Touch the Gmail account to be deleted.

  3. Touch Remove account.

  4. If this Gmail account is associated to your mobile device, you can only remove it by resetting it. Touch Remove Account, then touch OK. For information on resetting your mobile device, click here.

Email

Setting Up an Email Account

  1. From the Home screen, touch Applications > Email .
  2. Enter your account Email address and password.


  3.  Touch Next and follow the remaining procedures.
    – or –
    Touch Manual setup to manually configure your connection settings (POP3 or IMAP). Follow the onscreen prompts and enter the information specific to your carrier.
  4. The first time you connect, you are asked to give this Internet mail account a unique onscreen name and enter Your name (displayed in your outgoing emails within the From field), then touch Done.
    The unique account name is used to differentiate this account from other email accounts accessed by your mobile device.


Configuring Email Settings

  1. From the Home screen, touch Applications > Email .
  2. Press the Menu button > More > Account Settings.

Touch fields to configure the account:

  • General settings:
    • Account name: Displays your uniquely created account display name
    • Your name: Displays the name used in the From field of your outgoing emails
    • Signature: Add a standard signature to the bottom of the emails you send
    • Inbox check frequency: Choose an interval for checking for email

    • Default account: When enabled, this account is the default account for sending email from your phone
  • Notification settings:
    • Email notifications: Enable or disable alerts in the Status Bar
    • Select ringtone: Choose a ringtone to use for new email alerts

    • Vibrate: Enable or disable vibration with new email alerts

  • Server settings:
    • Incoming settings: Adjusts the incoming email parameters, such as username, password, and other incoming connection parameters (ex: IMAP server)

    • Outgoing settings: Adjusts the outgoing parameters, such as username, password, and other incoming connection parameters (ex: SMTO server)

Adding Additional Internet Email Accounts

Using only reveals all currently added Email accounts. To view additional email accounts within the main Email screen, they must first be added.

  1. From the Home screen, touch Applications > Email .
  2. Touch the Email account.

  3. From the Email account screen, press the Menu button > Accounts.

  4. Touch Add account.
  5. Follow the onscreen prompts to add additional Internet-based email accounts such as Yahoo!, AOL, or other POP or IMAP accounts.

 

Removing an Email Account

  1. From the Home screen, touch Applications > Email .
  2. Touch the Email account (if you have more than one email account).
  3. Press the Menu button > Accounts.

  4. Touch and hold the email account to delete, then touch Remove account.

    Warning! Deleting this account also deletes all of its messages, contacts, and other data from the mobile device.

  5. Touch OK.


Corporate Email (Outlook)

The Email application also provides access to your Outlook Exchange server via your mobile device. If your company uses Microsoft Exchange Server 2003 or 2007 as the corporate email system, you can use this email application to wirelessly synchronize your email, Contacts, and Calendar information directly with your company's Exchange server.

Setting up a Corporate Email

  1. From the Home screen, touch Applications > Email .
  2. Enter your account Email address and password.


    • Email address: your Outlook work email address
    • Password: typically your network access password (case-sensitive)
  3. Touch Next.
    – or –
    Touch Manual setup to manually configure your connection settings.
  4. Touch Exchange.

  5. Enter your Domain\Username, Password, and Exchange Server information.

    Important: Consult your Network Administrator for information.

    • Domain\Username: Use the arrow keys to place your cursor before your username and enter your network domain\desktop login username
    • Password: typically your network access password (case-sensitive).
    • Exchange Server: your exchange server remote email address. Typically starts with mail.XXX.com. Obtain this information from your company network administrator. Do not accept the default entry as this is a guess based on returned information.
    • If your network requires SSL encryption, touch the Use secure connection (SSL) field to place a checkmark in the box and activate this additional level of security
      • If your exchange server requires this feature, leaving this field unchecked can prevent connection

    Note: Signal interruptions or incorrect username or password information can cause completion issues.

  6. Read the onscreen activation disclaimer and touch OK.

  7. Configure your Sync settings (days to synchronize between your mobile device and server).

  • Inbox check frequency: Choose a frequency for the phone to check the server for new emails

  • Amount to synchronize: Choose a time period to determine how many days' email will synchronize

  • Activate any other email settings. Then, touch Next.
  1. Identify your new account with a unique name and then touch Done.



Edit Email Account Settings

  1. From the Home screen, touch Applications > Email .
  2. Press the Menu button > More > Account Settings.

      • General Settings:
        • Account name: Displays your uniquely created account display name
        • Your name: Displays the name used in the From field of your outgoing emails
        • Signature: Add a standard signature to the bottom of the emails you send
        • Amount to synchronize: Choose a time period to determine how many days' email will synchronize

        • Inbox check frequency: Choose an interval for checking for email

  1. Follow the onscreen prompts to add additional Microsoft Exchange ActiveSync email.

Delete an Email Account

  1. From the Home screen, press Menu button  > Settings > Accounts & sync.
  2. Touch the Exchange email account you want to delete.

  3. Touch Remove account.

Warning! Removing this account will delete all of its messages, contacts, and other data from the mobile device.
