Exchange ActiveSync® Email Setup

You will need the following information to set up ActiveSync:

    • Email Address
    • Username
    • Password
    • Domain Name
    • Server Address

Add ActiveSync® Account

  1. From the Home screen, touch Menu Menu key > Settings Settings Shortcut > Add account > Microsoft® Exchange ActiveSync.
  2. Enter your Email address and Password. Mark Send email from this account by default (available only if you have already added another email account) to set this as the default email account and then touch Next.

  3. Your device will attempt to automatically find the additional details needed to set up your account. If it is successful, you will skip to Step 5. If it cannot automatically find the additional details needed, you will see the message Setup could not finish. Touch Edit details to enter the additional information manually.

  4. Verify the Exchange server settings are correct, and touch Next.

  5. Review the Activation screen. Unmark the Always show option if you do not want to see this message again when setting up an ActiveSync account, and touch OK.

  6. The Account options screen allows you to select the following ActiveSync options:
    Note: Options may vary depending on the type of account you are viewing.
    • Peak schedule: Choose how often your device should connect to the Exchange server to get email during peak business hours. Choose Push to have email delivered to your device as soon as it arrives on the server.
    • Off-peak schedule: Choose how often your device should connect to the Exchange server to get email during off-peak business hours. Choose Push to have email delivered to your device as soon as it arrives on the server.
    • Period to sync email: Choose the time period your device should keep in sync.
    • Emails retrieval size: Set an email size limit. Your device will download only the headers for emails that exceed this limit. When you open the message, you will be able to download the entire message.
    • Period to sync Calendar: Choose the time period your device should keep in sync.
    • Send email from this account by default: Mark this option to send all new email messages from this account by default.
    • Notify me when email arrives: Mark this option to have your device notify you when you have new email messages.
    • Sync email: Mark this option to synchronize your email to your device.
    • Sync Contacts: Mark this option to synchronize your contacts to your device.
    • Sync Calendar: Mark this option to synchronize your calendar to your device.
    • Sync task: Mark this option to synchronize your tasks to your device.
    • Automatically download attachments when connected to Wi-Fi: Mark this option to set your device to automatically download email attachments when you are connected to a Wi-Fi® access point.
  7. Scroll to the bottom and touch Next.

  8. Enter a name for the account. This will help you easily identify this account if you add other email accounts to your device. Then touch Done.

Edit Email Account Settings

From the Home screen, touch Menu Menu key > Settings Settings Shortcut> Microsoft Exchange ActiveSync and then touch your account name. Touch Settings to view the General preferences and the Added accounts settings.

You can also access the settings from Apps App Icon > Email Email Icon > Menu Menu key > Settings.

Email Settings

Touch your account name under the Added accounts section for the following options:
Note: Options may vary depending on the type of account you are viewing.

  • Account name: Displays the account display name.
  • Signature: When turned on, your device will automatically add the signature to all outgoing messages for this account. Touch Signature to edit the signature that will be sent.
  • Default account: Assign this account as the default account used for outgoing emails.
  • Always Cc/Bcc myself: Include your email address in either the Cc or Bcc recipient field.
  • Forward with files: Allows you to maintain any attachments while forwarding a message.
  • Show images: Set the option to show all images when you are viewing emails.
  • Auto download attachments: Mark this feature to automatically download attachments when connected to Wi-Fi.
  • Period to sync email: Defines the sync range your device should receive and keep messages for.
  • Empty server trash: Delete your email account's server trash remotely.
  • Sync schedule: Allows you to define your email sync schedule.
  • Folder sync settings: Set the synchronization settings for the available folders in your account.
  • Out-of-office settings: Set your account to send out-of-office auto-replies.
  • Size to retrieve emails: Define the incoming email size your device is allowed to automatically download. Emails that exceed the size limit will have only their headers downloaded. You will be able to manually download the message when you open it.
  • Period to sync Calendar: Defines the period for your device to sync calendar events.
  • Security options: Display a list of your current email account security policies.
  • In case of Sync conflict: Define what your device should do if a synchronization conflict occurs.
  • Auto resend times: Select the number of times your device should try to send an email if it fails the first time.
  • Email notifications: Checking this box will cause an email notification icon to appear within the Notification Panel and the status bar when a new message for this account is received.
  • Select ringtone: Assigns a custom ringtone to be played when this account receives new messages.
  • Vibrate: Defines when a vibration should be used upon receiving a new message for this account.
  • Exchange server settings: Adjusts the incoming email server details.
  • Sync Email: Turns on email synchronization.
  • Sync Contacts: Turns on contacts synchronization.
  • Sync Calendar: Turns on calendar synchronization.
  • Sync Task: Turns on task synchronization.

General Preferences

Touch General preferences for the following options:

  • Auto-advance: You can choose how the email app should behave after you delete a message. You can have the app go to the Next message, Previous message, or Message list.
  • Message preview line: Select the number of lines the email app should show when previewing a message.
  • Email title: Select the title the email app will show in the message list. Choose from Subject or Sender.
  • Confirm deletions: Your device will confirm your desire to delete a message when you mark this option.
  • Quick responses: Edit the quick responses you can use when creating or responding to emails.
  • Priority senders: Manage contacts that have been added to the priority sender list.
  • Email notifications: Mark this option to set your device to notify you when new messages arrive by showing an indicator icon in the status bar and adding a message to the Notification Panel.
  • Select ringtone: Assigns a custom ringtone to be played when this account receives new messages.
  • Vibrate: Choose to set your device to vibrate when a new message comes in.

Synchronizing Your Microsoft Exchange ActiveSync Account

You can adjust your Exchange ActiveSync account settings to change the content synchronized to your device.

  1. From the Home screen, touch Menu Menu key > Settings Settings Shortcut> Microsoft Exchange ActiveSync and touch your account name.

  2. Mark or unmark the content you want to synchronize. A green check mark indicates the content will be synchronized. Touch Sync now when you have made your selection.

Adding Microsoft Exchange ActiveSync Email Accounts

From the Home screen, touch Menu Menu key > Settings Settings Shortcut > Add account > Microsoft Exchange ActiveSync.

Add Additional Email

Note: A green circle indicates a previous account has already been created.

Removing an Email Account

  1. From the Home screen, touch Menu Menu key > Settings Settings Shortcut> Microsoft Exchange ActiveSync and touch your account name.

  2. Touch Remove account.

  3. Confirm you would like to delete this account by touching Remove account.

Warning! Removing this account will delete all of its messages, contacts, and other data from the mobile device.
